Mindpath Terms of Service

These Terms and Conditions apply to all services provided by MindPath Psychology. By
booking, attending, or commissioning services, you agree to be bound by these Terms
and Conditions. These terms incorporate the same administrative and payment
principles as your prior Terms document, adapted for MindPath and expanded for
clarity.

General Terms of Administration
Our Services
MindPath Psychology provides psychological services delivered by HCPC-registered
Clinical Psychologists. We may also work with independent mental health practitioners
where appropriate to deliver services, and where this occurs, professional standards,
confidentiality expectations, and record-keeping requirements will apply.Not a Crisis or Emergency Service
MindPath Psychology does not provide an emergency or crisis response service outside
planned appointments. If you require urgent support, or if there is any risk of immediate
harm, you must seek emergency help through appropriate services.
This includes, but is not limited to, situations involving: suicidal thoughts with intent or
planning, self-harm requiring medical attention, significant deterioration in mental
state, psychotic symptoms, acute intoxication, domestic abuse escalation, threats of
violence, safeguarding concerns for a child or vulnerable adult, or any scenario where
you or someone else may be unsafe.
If any of the above applies, you should: contact your GP and request an urgent
appointment, call NHS 111, attend your nearest Accident and Emergency department,
or call 999 in an emergency.
Where serious risk is identified during our work, we have professional duties under
safeguarding and ethical guidance. This means confidentiality may be broken if there isa serious and immediate risk to life, significant harm, or where disclosure is required by
law.
For organisational contracts, the commissioning organisation remains responsible for
internal safeguarding procedures, occupational health, HR processes, and duty of care
to employees.
3. Personal Property
MindPath Psychology does not accept liability for loss, theft, or damage to personal
items or valuables brought to appointments or sites.
4. Policies Available on Request
We have formal policies in place, including a complaints procedure and confidentiality
and consent-to-share guidance. Copies are available on request.
Financial Terms
Payment Principles
All services are privately funded. MindPath Psychology does not currently work with
insurers. Payment responsibilities rest with the individual client or commissioning
organisation, unless otherwise agreed in writing.
Where another third party is paying fees on your behalf, you remain responsible for any
outstanding balance if the third party fails to pay in full, in part, or on time. This follows
the standard approach contained in your original Terms.Payment Methods
We accept most major debit and credit cards. We do not accept cash or cheques.
We reserve the right to apply transaction fees for certain business or corporate card
payments, where applicable, and we will make this clear at the point of payment.Late or Non Payment and Debt Recovery
If payment has not been received by the required deadline, we reserve the right to do
one or more of the following:
Take payment automatically using the payment method stored on our secure
payment system, where you have provided card details at booking or
onboarding.
Suspend or delay services until accounts are brought up to date.
Assign a third party to recover outstanding debts or accounts due.
MindPath Individual - One-to-One Therapy Terms
Session Length and Format
MindPath Individual provides one-to-one psychological therapy. Standard
appointments are 55 minutes in duration. Sessions may be delivered in person or
online, as agreed.Fees and Payment Timing
Fees will be confirmed before therapy begins. Unless otherwise agreed in writing,
payment is due no later than the day of the appointment.
We may issue invoices in advance of sessions with a secure payment link. If payment is
not received by the day of the session, we reserve the right to take payment
automatically using securely stored card details, where these have been provided.Cancellations and Late Arrivals
A minimum of 24 hours written notice is required to cancel or reschedule a session. If
less than 24 hhour’s notice is provided, the session will be charged in full, irrespective
of the reason for cancellation.
If you arrive more than 30 minutes late, the session may be forfeited, and the full
session fee will apply.
MindPath Business - Consultancy, Leadership, and Team Services Terms
Scope of Work
MindPath Business provides bespoke organisational services which may include
executive coaching, psychologically informed leadership development, team
facilitation, group interventions, organisational consultation, and structured learning
outputs.MindPath Business is not an emergency mental health service and does not replace
occupational health, HR processes, disciplinary procedures, legal advice, or emergency
psychiatric care.Bespoke Packages and Fees
MindPath Business packages are bespoke and agreed in writing. Invoices are typically
issued monthly unless otherwise agreed. Payment is due within 14 days of invoice date
unless otherwise stated in the contract.Out of Session and Out of Hours Support
MindPath Business operates primarily within agreed contracted sessions and delivery
hours. Where additional contact is requested outside scheduled sessions, including
telephone calls, additional consultations, urgent advisory input, extended email
consultation, additional written work, or other time beyond the contracted scope, this
will be charged at £150 per hour. Time will be calculated proportionately and invoiced
based on actual time spent, for example a 15 minute call would be charged as a
proportion of the hourly rate. This applies to all unscheduled support unless explicitly
included within a higher-tier concierge agreement.Cancellations for Business Work
For executive one-to-one sessions, a minimum of 48 hours written notice is required to
cancel or reschedule. Sessions cancelled within 48 hours will be charged in full.
For group sessions, workshops, or on-site consultancy, cancellations may incur
charges due to reserved delivery time and preparation work. Unless otherwise agreed in
writing:
Cancellation within 5 working days may incur a charge of 50% of the agreed fee
Cancellation within 48 hours may incur a charge of 100% of the agreed fee
Financial Agreement Statement
By engaging MindPath Psychology, you confirm and agree that:
You agree to pay for services provided in accordance with these Terms and
Conditions.If a third party agrees to pay part or all of the fees, you remain responsible for any
outstanding balance if they do not pay.MindPath Psychology reserves the right to assign outstanding debts to a third
party for recovery.You understand that cancellation fees apply if the required notice period is not
met.Where securely stored card details have been provided, you agree that MindPath
Psychology may take payment automatically if payment is not made by the
required deadline.MindPath Psychology reserves the right to vary charges with reasonable notice,
unless otherwise agreed in writing.
